What does a CRM for builders need to do?
A CRM for builders has to keep a high value enquiry alive for weeks or months, from the first call to a signed contract. Builders don't lose most jobs on price. They lose them in the gaps: the enquiry nobody rang back on a Friday, the quote that sat for three weeks without a follow up.
Building sells differently to most trades. A plumber's lead turns into a job the same day. A builder's lead goes through a site visit, a design or preconstruction stage, a quote and a contract, and the client is talking to two or three other builders the whole time. So the CRM needs to:
- Reply to every enquiry straight away, even when you're on site.
- Ask the questions that tell you if a job is worth chasing: what they want built, where, the budget, timing, and whether they have land or plans.
- Show every live job in one pipeline, so you can see what's stalled.
- Follow up without you remembering to, for as long as the client takes to decide.
- Keep working after the contract, with job tracking, crew time and costs, and a review request at handover.
How does Omega CS run a builder's sales pipeline?
Omega CS is the CRM I built in Perth for trades and builders. It covers each stage from enquiry to handover, and it does the chasing so you don't have to.
| Stage | What usually happens | What Omega CS does |
|---|---|---|
| New enquiry | Form lands in an inbox, gets a reply in a day or two | Texts the lead back in seconds from your own Australian mobile number and asks the project details |
| Qualifying | You find out on the site visit that the budget doesn't fit | Scores each lead cold, warm or hot and sends you a summary of the hot ones |
| Missed call | Caller rings the next builder on Google | Texts back every missed call |
| Site visit | Phone tag to find a time | Books it into Google Calendar |
| Quote | Written at night, weeks after the visit | A quoting agent drafts it from your prices and materials for you to check |
| Follow up | One call, then it's forgotten | Follows up the quote until the client says yes or no |
| Building | Timesheets and receipts in a shoebox | Crew get a text each evening to log time and expenses. Photograph a receipt and it reads it, categorises it and works out the GST |
| Handover | No review asked for | Asks happy clients for a Google review |
A scheduling agent also sequences jobs by location, crew and priority into run sheets, which helps once you have more than one job running. Enquiries from your website, Facebook and Instagram all come into the same pipeline, opt-outs are handled under the Spam Act, and your data is hosted in Sydney.
Why do builders lose jobs they should have won?
Mostly through slow replies and follow ups that stop. A study by MIT and InsideSales found leads contacted within 5 minutes were 21 times more likely to qualify than leads contacted at 30 minutes. For a builder on site all day, 30 minutes is a good day. Often it's the next evening.
The second leak is the long middle. A renovation or new home can take months to decide on. Most builders follow up once, maybe twice, then get busy. The client goes quiet, and the job goes to whoever stayed in touch.
That's the part Omega CS is built for. A Perth renovation builder put it to work and had "Over $580k in sales and $1.2M in pipeline in his first 30 days." Results vary, and the CRM doesn't win the job for you. It makes sure you're still in the conversation when the client decides.
Is Omega CS a replacement for job management or construction software?
Not entirely, and I'd rather say that up front. Omega CS is strongest at the front end: lead response, follow up, quoting, scheduling, crew time and receipts. It does not do invoicing, payments, payroll or accounting sync.
If you rely on job management software for invoicing and payments, ServiceM8 and Tradify are more mature for invoicing, payments and accounting integrations. Builders who need detailed estimating takeoffs or progress claims usually need a construction platform for that as well.
Plenty of builders run Omega CS for sales and their existing software for the money side. If you want to move across fully, migration from ServiceM8, Tradify, spreadsheets and old CRMs is done for you in the setup. If you're weighing a fully custom system instead, see our page on a custom CRM for tradies.
Builder CRM we've set up
Nailed It Creations is a Brisbane family custom home builder, QBCC licensed and trading since 2013. He sells through a paid preconstruction process, so we rebuilt his site around it with one call to action on every page, 87 questions in FAQ schema across 19 pages and an llms.txt file.
Behind the site, he runs his own CRM on Omega CS with an AI SMS agent that qualifies enquiries before he spends time on them. That's the setup most builders want: the website brings in the enquiry, the CRM sorts the serious ones and keeps them warm until they're ready for preconstruction. It launched in September 2026.
How much does a CRM for builders cost?
Omega CS starts from $199 a month + GST if you set it up yourself, and from $350 + GST a week if you want it built and run for you. There are three plans.
| Plan | Price (ex GST) | Who it suits |
|---|---|---|
| Self Serve | From $199 a month, 14 day free trial | Builders happy to set it up themselves at omega-cs.com |
| Set Up For You | $2,500 setup, then from $199 a month | Builders who want it built properly once, then run it in house |
| Run For You | From $350 a week, $0 setup | Builders who want it built and run by Source Digital, with weekly numbers. Cancel any time, 30 day guarantee |
Who it's not for: if you win almost all your work by referral, have a long waiting list and already call every lead back the same day, a CRM for builders probably won't change much for you. It pays off when enquiries are slipping through or quotes are going quiet. See the full feature list on the Omega CS page.

Does Omega CS work with a builder website?
Yes. Your website form, Facebook and Instagram leads all go straight into Omega CS, so the text back goes out in seconds whichever way the enquiry arrives. It also sends conversions back to Meta through the Conversions API, which helps your ads find more people like the clients who actually sign.
If your site isn't bringing in enquiries yet, start there. Our builder website design work is built around how builders sell, with project galleries, suburb pages and one clear next step. For the long game on Google and AI search, see SEO for builders.
