What is a Xero integration?
A Xero integration is a connection that moves data between Xero and another system automatically, so nobody has to copy it across by hand. Data can go into Xero, like invoices and contacts, or come out of it, like payment status and figures for a report.
Typical examples:
- A job marked complete in your job system becomes a draft invoice in Xero.
- A new customer in your CRM becomes a contact in Xero, with no duplicate typing.
- Supplier receipts photographed on site become bills against the right job.
- Overdue invoices and job figures are pulled out of Xero into a weekly dashboard.
We build Xero and MYOB integrations as part of custom software and business automation builds, using each company's official API. One thing to be upfront about: our own CRM, Omega CS, does not sync to accounting software.
Do you need a custom Xero integration or an off-the-shelf connector?
Try off-the-shelf first. If a Xero App Store app or a Zapier or Make workflow already moves the data you need, use it. A custom Xero integration is worth it when the connection has rules of its own, joins several systems, or the workaround is costing hours every week.
| Option | How it works | Best for | Watch for |
|---|---|---|---|
| Xero App Store app | A ready-made product that connects to Xero, paid monthly | Common jobs like payments, inventory or job costing | You get the vendor's version of the process, not yours |
| Zapier or Make | No-code workflows: when X happens, do Y in Xero | Simple one-to-one steps, like a new form entry creating a contact | Costs grow with volume, and complex rules get fragile |
| Custom integration | Code written for your systems, using the Xero or MYOB API | Your own rules, several systems, or reporting nobody sells | Higher upfront cost, so only worth it when the others fall short |
As of November 2026, Zapier's Xero app covers triggers like new invoices, contacts, payments and bank transactions, and actions like creating invoices, bills, contacts and quotes. That handles a lot. If you'd like a straight answer on which one fits, ask before paying anyone for a build.
What jobs can a Xero integration handle?
Most of the value sits in three jobs: turning work into invoices, getting costs in without retyping, and getting figures out for reporting.
- Jobs and sales to invoices: completed jobs, signed quotes or orders become draft invoices with the right contact, items and tracking categories.
- Receipts and bills: supplier costs come in against the right job or account, ready for someone to approve.
- Contacts: one customer record shared between your CRM and Xero instead of two lists drifting apart.
- Payment status back to your system: your job or CRM screen shows what's been paid, so nobody chases a bill that's already settled.
- Reporting: figures from Xero joined with data from your other systems, like job profit, overdue invoices by customer or spend by supplier.
We usually create invoices and bills as drafts, so a person approves them in Xero before anything goes to a customer. Automation should save the typing, not the checking.
How much does a Xero integration cost?
A custom Xero integration is priced like any custom software build. A focused integration that does one job starts from $3,500 + GST. Larger builds that connect several systems with dashboards go up to $25,000 + GST, and most small business projects land between $8,000 and $15,000 + GST.
| Cost | Amount | Notes |
|---|---|---|
| Focused custom integration | From $3,500 + GST | One job done well, like jobs to draft invoices |
| Integration within a larger system | $8,000 to $15,000 + GST for most projects | Part of a portal, CRM or reporting build |
| Managed hosting (optional) | $50 to $150 a month + GST | Keeps the sync running and monitored |
| Xero developer fees | No charge on Xero's Starter tier, up to 5 connections | Paid tiers start at about $35 a month AUD ex tax for up to 50 connections, as of November 2026 |
Xero moved app developers to tiered pricing on 2 March 2026. For a business connecting its own Xero file, the free Starter tier is usually enough, but it's worth confirming with Xero for your setup. Every price from us is fixed in writing after a free scoping call, and you own what we build.

Can you build a MYOB integration too?
Yes. A MYOB integration works the same way, through MYOB's own API. As of November 2026, the MYOB Business API covers MYOB Business and AccountRight company files, uses a secure sign-in, and access has to be approved by an administrator of the company file.
The jobs are the same: sales and jobs into invoices, contacts kept in sync, and figures out for reporting. The details differ, so the scoping call covers which MYOB product you're on and what your file allows.
What should you know before building on the Xero API?
Xero sets limits on how fast and how much an integration can call its API, and terms on how the data can be used. A good build is designed around both from day one.
- Rate limits: as of November 2026, Xero allows each connected organisation 60 API calls a minute and 5,000 a day, with up to 5 at once. A sync that handles thousands of records needs batching and a schedule, not a call per click.
- Retries and logs: calls sometimes fail. We log every sync and retry safely, so a failed run doesn't create duplicate invoices.
- AI and your data: Xero's developer terms prohibit using data from its APIs to train AI models. We can still use AI to read a receipt or draft a summary, but your Xero data isn't used to train anything.
- Access: the integration only gets the permissions you approve in Xero, and you can disconnect it from your Xero settings.
How we build an accounting integration
- Free scoping call. What needs to move, in which direction, how often, and who checks it. I'll tell you if Zapier, Make or an app already does it.
- Fixed price in writing. The data flows, the rules and the price, listed plainly. Nothing starts until you agree.
- Build against a test file. We build and test against a Xero demo company or a copy of your file before it touches your live books.
- Go live and monitor. Your bookkeeper or accountant sees it working first. Hosting and monitoring are optional, with no lock-in contracts.
If the integration is part of a bigger system, such as a custom CRM, it's scoped and quoted together so you get one fixed price.
