What is the best CRM for recruitment agencies in Australia?
The best CRM for recruitment agencies depends on what you place. Agencies doing temp and contract work need a CRM that handles placements, timesheets and a link to payroll. Perm only desks mostly need fast search, good email sequences and a clean client pipeline.
A recruitment CRM is usually two tools in one: an ATS for candidates and jobs, and a CRM for clients and business development. These are the ones Australian agencies shortlist most:
- JobAdder: recruitment CRM and ATS with perm and temp pipelines, timesheets and integrations with Australian back office tools like Astute Payroll. Priced on request.
- Bullhorn: a large global platform with published Australian prices on its first two tiers, and bigger options for enterprise and contract staffing.
- Access Vincere: a pipeline driven CRM and ATS from The Access Group, with temp and contract scheduling and timesheets on its Core plan and published AUD prices.
- Recruiterflow: ATS and CRM built around multichannel sequences and automation, with AI agents on its top plan. Priced in USD.
- Zoho Recruit: a free plan, plus candidate and staffing portals on its Enterprise plan. Useful if you already run on Zoho.
- Manatal: the cheapest published option here, priced in USD per user.
What should a recruitment agency CRM do?
A good recruitment CRM stops your consultants double handling. Every candidate, client, job and placement should live in one record, searchable in seconds.
- Candidate database and search: CV parsing, tags, notes and fast search across years of candidates.
- Job pipelines: shortlists, submissions, interviews and offers for each job.
- Client CRM: contacts, companies, call notes and a pipeline for winning new clients.
- Email and SMS sequences: so follow ups go out without someone remembering to send them.
- Job posting: to job boards and your careers page from one place.
- Temp and contract: placements, timesheets and a sync to payroll if you place temps.
- Reporting: activity, placements and revenue by consultant.
- Integrations: email, calendar, LinkedIn and your back office.
One more thing to ask every vendor: your database holds candidates' personal details, often years of them. Ask where it's hosted, who can export it and how access is controlled before you move it in.
How do the main recruitment CRMs compare?
The biggest differences are temp and contract support and whether prices are public. Here's how each CRM for recruitment agencies compares, using each vendor's own pricing page as of November 2026.
| CRM | Best for | Temp and contract | Price as of November 2026 |
|---|---|---|---|
| JobAdder | Agencies doing perm and temp | Perm and temp on Essential and Pro, timesheets, Astute Payroll integration | On request, annual contracts standard |
| Bullhorn | Agencies wanting a big ecosystem and room to grow | Workforce Edition adds time capture, shift scheduling and rate cards, on quote | Starter about A$99, Core about A$165 per user a month |
| Access Vincere | Agencies wanting front and back office from one vendor | Scheduling and timesheets on Core, pairs with Access FastTrack360 | Startup about A$310 a month for one user, Core about A$195 per user a month |
| Recruiterflow | Perm desks that run on outreach sequences | Not listed on its pricing page | About US$149 per user a month |
| Zoho Recruit | Agencies already on Zoho | Staffing portals on Enterprise | Free plan, paid plans through its calculator |
| Manatal | Small desks on a tight budget | Ask in the demo | About US$15 to $55 per user a month, billed annually |
Plans and prices change, so check them on the vendor's site before you sign an annual contract.
How much does a recruitment CRM cost in Australia?
Most recruitment CRMs cost about A$100 to A$200 per user a month on the tiers small and mid sized Australian agencies buy, with cheaper overseas options from about US$15. Several vendors only quote, so expect to book a demo to get a number.
- Bullhorn: Starter about A$99 and Core about A$165 per user a month, with Pro, Max and enterprise on quote. Starter, Core and Pro include free implementation. The page doesn't say whether GST is included.
- Access Vincere: Startup about A$310 a month flat for one user on a 30 day rolling contract, Core about A$195 per user a month for 2 to 7 users, and Pro from about A$175 per user for 7 or more, priced to your agency. GST isn't stated.
- JobAdder: on request. Annual contracts are standard, paid monthly or yearly, and add ons are priced separately.
- Recruiterflow: about US$149 per user a month on the Platform plan, with the AIRA plan on custom pricing. Tax isn't stated.
- Manatal: about US$15, $35 and $55 per user a month billed annually, or $19, $39 and $59 billed monthly. Its FAQ says it doesn't add tax for customers outside Singapore.
- Zoho Recruit: a free plan with 1 active job per licence, and paid plans priced through a calculator that didn't show AUD.
For a 5 consultant agency, that works out at about A$825 a month on Bullhorn Core, about A$975 on Vincere Core, about US$745 on Recruiterflow and about US$175 on Manatal Enterprise billed annually. Ask whether AUD prices include GST. If they don't, add 10%.
Which recruitment CRM handles temp and contract placements best?
For temp and contract desks, the CRM matters less than its link to payroll. Pick the CRM whose back office connection you trust, because that's where pay mistakes happen.
- JobAdder: perm and temp pipelines on Essential and Pro, temp and contractor talent pools, and timesheets with reminders. Placements flow one way into Astute Payroll, where time is approved and pay and invoices are produced.
- Access Vincere: temp and contract scheduling and timesheets on Core, with the same vendor's FastTrack360 for payroll and billing.
- Bullhorn: Recruitment Cloud Workforce Edition adds time capture, timesheet approval, shift scheduling and rate cards, on quote. Astute Payroll and FastTrack360 both list Bullhorn integrations.
If most of your work is shift based labour hire rather than recruitment, a labour hire platform may suit you better than a recruitment CRM. We compare those in our guide to labour hire software.
Can a recruitment agency use HubSpot or a general CRM?
For business development, yes. For candidates, not well. General CRMs like HubSpot, Zoho CRM and Pipedrive are built around one sales pipeline of companies and deals. Recruitment needs two pipelines that meet: candidates moving through jobs, and clients moving toward placements.
A general CRM can work for a solo recruiter doing a handful of retained searches a year who mostly needs a client pipeline and email tracking. Once you're managing hundreds of candidates against live jobs, you'll spend more time building workarounds than recruiting. If you're weighing the general options anyway, see our best CRM for small business in Australia roundup and custom CRM vs Salesforce, HubSpot and Zoho.
When does a custom CRM or AI layer make sense for recruiters?
For most agencies, buy a recruitment CRM and don't build one. JobAdder, Bullhorn and Vincere have years of job board connections, CV parsing and integrations behind them, and a custom build would spend a lot of money catching up.
Custom work earns its place on top of your CRM, not instead of it:
- An AI SMS layer that texts every new applicant back in seconds, asks your screening questions and books a call, then writes the answers into your CRM.
- Database reactivation that works through old candidates with a short text and flags who's available.
- Reports or dashboards that join your CRM, back office and accounting data when the built in reports fall short.
- A niche workflow, such as client specific compliance packs, that your CRM can't model.
We built this kind of layer for a Perth real estate agency: a secure SMS AI agent that starts the conversation with new leads and hands to a human at the right moment, connected to the agency's existing CRM. The same pattern works for candidates. MIT and InsideSales found leads contacted within 5 minutes were 21 times more likely to qualify than leads contacted at 30 minutes, and a candidate who has applied for three jobs that morning is no different.
Custom software from Source Digital ranges from $3,500 for a focused single purpose tool to $25,000 for a full multi module system, with most small business projects between $8,000 and $15,000 + GST, at a fixed price after a free scoping call. Our own CRM, Omega CS, is built mainly for trades and service businesses, not as a recruitment ATS, so we wouldn't pitch it to replace JobAdder or Bullhorn. Which recruitment CRM should your agency choose?
Choose by what you place and how fast you plan to grow. Here's the verdict on a CRM for recruitment agencies, by agency type.
| Your agency | Shortlist | Why |
|---|---|---|
| Solo recruiter or new desk, perm only | Manatal or Bullhorn Starter | Low per user price, and Bullhorn Starter includes free implementation |
| 2 to 7 consultants, perm and temp | JobAdder or Access Vincere Core | Temp pipelines and timesheets built in |
| Temp and contract heavy agency | JobAdder plus Astute Payroll, or Vincere plus FastTrack360 | Proven paths from placement to pay and invoice |
| Agency planning to scale past 20 consultants | Bullhorn | Tiers from Starter to enterprise, and a marketplace of 300+ partners from Core up |
| Perm desk that lives in outreach sequences | Recruiterflow | Multichannel sequences and automation on the Platform plan |
| Agency already on Zoho | Zoho Recruit | Free to start, and it sits beside your other Zoho apps |
| Agency happy with its CRM but slow to reply | Keep your CRM, add an AI layer | Faster replies without migrating years of data |
Run a trial or sandbox with your real candidates and jobs before you sign an annual contract, and ask each consultant which one they'd keep. Their answer is usually right.
